There’s one source of truth, and it keeps getting lost

The leave file lives on the planner’s drive, in a shared folder, or in three inboxes at once. The moment someone makes a copy or opens an old version, balances start to diverge. Nobody does it on purpose — it just happens.

Requests arrive through every channel except the file

One employee emails, another texts, a third mentions it in the hallway. You have to remember, enter and confirm every one of those requests. Each handover is a chance to drop one — and a dropped request means an employee standing at the airport while the schedule says they’re working.

Balance calculations are manual labour

Two rows stand out. First, self-service: once employees can see their own balance and submit their own requests, most of the questions aimed at you simply disappear. Second, the link with planning: leave that automatically appears in the schedule can never be forgotten again.

Reporting matters too. At year-end you want to see, per employee, how many hours were taken, what remains and which hours are about to expire. In Excel that means filtering and summing all over again; in a leave system it’s a standard report you can open at any moment.

Automate your leave tracking in 5 steps

Moving from Excel to a leave system is a smaller project than it sounds. Here’s the playbook.

Step 1: Clean up your current records

List the current balance per employee: statutory hours, additional hours and any time-off-in-lieu. This is also the moment to settle old ambiguities — you don’t want to import those into a new system.

Step 2: Write down your leave rules

A few practical tips. Announce the switch with a clear start date. Show how to submit a request in five minutes — more training is rarely needed. And during the first weeks, actively ask whether balances match what people expect; that catches data-entry errors early and builds trust fast.
